Position Overview
As a Virtual Legal Secretary/Administrative Assistant, you will play a vital role in providing essential administrative support to our legal team, particularly in the context of supporting US-based companies. This remote position offers flexibility and the opportunity to work from the comfort of your own home while contributing to our clients' legal success.
Responsibilities:
- Provide administrative support to attorneys and legal professionals, including managing calendars, scheduling meetings, and arranging travel logistics.
- Assist in drafting, editing, and formatting legal documents, correspondence, and reports, ensuring accuracy and adherence to legal guidelines.
- Maintain and organize legal files, documents, and databases, ensuring accessibility and confidentiality of information.
- Conduct legal research and gather relevant information to support case preparation, document analysis, and decision-making processes.
- Assist in preparing and filing legal documents with courts, government agencies, and other relevant entities, following procedural requirements.
- Communicate effectively with internal and external stakeholders, including clients, attorneys, and vendors, to facilitate the exchange of information and documentation.
- Coordinate document production and distribution, including printing, scanning, and electronic filing, as needed.
- Collaborate with team members to streamline workflows, improve processes, and enhance overall efficiency in legal operations.
- Assist in billing and invoicing tasks
- Minimum of 3 years of experience as a Legal Secretary or similar role
- Strong knowledge of US legal procedures and regulations
- Proficient in legal software and tools
- Excellent organizational and time management skills
- Attention to detail and accuracy in document preparation
- Strong communication and interpersonal skills
- Ability to prioritize and multitask in a fast-paced environment
- Discretion and ability to handle sensitive and confidential information
- Availability to work during US business hours
- Associate degree in Paralegal Studies or relevant field is a plus
