Responsibilities:
Coordination and Process Management:
Demonstrate proficiency in managing Jira and ticketing processes.
Coordinate and streamline workflows within the legal operations team.
Utilize Salesforce and Looker for data analysis and reporting to enhance operational efficiency.
Implement and maintain process improvements to optimize legal operations.
Invoicing Administration:
Take ownership of the invoicing process, ensuring accuracy and timely processing.
Collaborate with internal stakeholders to address any billing discrepancies or issues.
Maintain organized records of invoices and related financial documentation.
Conduct regular audits to ensure compliance with financial guidelines.
Signature Management:
Facilitate and manage the electronic signature process for legal documents.
Ensure compliance with internal policies and legal requirements regarding document signatures.
Coordinate with relevant parties to obtain necessary approvals and signatures promptly.
Develop and implement strategies to expedite the signature approval process, implement and maintain process improvements to optimize signing process..
Communication and Collaboration:
Communicate effectively with cross-functional teams to understand their legal operations needs.
Provide support and training to ensure proper utilization of tools like Jira, Salesforce, and Looker.
Vendor Management:
Collaborate with external vendors and service providers for legal operations support.
Requirements:
4+ years experience in legal operations, administration, project management or a related role.
Bachelor's degree in Business Administration, Legal Studies, or related field.
Strong proficiency in using Jira, Salesforce, Looker, and other relevant tools.
Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint and the Google equivalents).
Strong analytical and problem-solving skills.
Exceptional organizational skills with a keen eye for detail
Excellent communication and interpersonal skills.
Ability to work independently and collaboratively in a fast-paced environment.
Fluent in English
Desired Skills:
Fluent in another language.
Experience in corporate governance and legal operations.
Experience working with large international teams spread across multiple time zones.
