Description
The Client Onboarding Specialist will be responsible for facilitating the smooth transition of new clients into our organization. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks simultaneously. This role involves working closely with clients to gather required information, coordinating with internal teams, and providing guidance and support throughout the onboarding process.
Requirements
TASKS:
- Lead the Client Meet and Greet along with the client’s CSM to understand their specific needs, expectations, and workflows, including any specialized services and preferred communication channels.
- Coordinate and manage the onboarding schedule to ensure timely and efficient onboarding processes.
- Gather all necessary client information and documentation to set up virtual assistant services.
- Collaborate with the CSM, OM, and SOM to identify potential risks and present solutions to clients in terms of crisis management.
- Actively participate in crisis management situations, providing solutions and support to resolve issues swiftly.
- Attend inhouse training sessions to understand the role of the Virtual Assistant (VA).
- Observe the effectiveness of training programs by monitoring both trainers and VAs, ensuring training objectives are met.
- Ensure VAs follow established processes, maintain accuracy, and uphold confidentiality standards.
- Maintain positive, long-term relationships with clients by conducting monthly check-ins
- Address client inquiries and concerns promptly and professionally to ensure ongoing satisfaction.
- Gradually step back from client interactions once the VA/s and CSM have established a strong rapport and efficient operations with the client.
- Transition full client management responsibility to the CSM, allowing the COS to move on to the next project.
QUALIFICATIONS:
- Excellent communication and interpersonal skills, with the ability to effectively communicate with clients at all levels.
- Flexibility and adaptability to meet the changing needs of clients and the organization.
- Strong organizational and project management skills
- At least 2 years of prior experience in customer relationship management or client onboarding
