Job Description:
We are seeking a proactive and detail-oriented Junior Operations Associate to support our operations team. This role is ideal for individuals with a background in executive assistance who are looking to transition into a more operational-focused position. The successful candidate will be responsible for backfilling essential operational tasks and ensuring the smooth functioning of our daily operations.
Key Responsibilities:
- Assist in the day-to-day operations of the organization, ensuring that all processes run smoothly and efficiently.
- Backfill operational tasks as needed, providing support to various departments to maintain workflow and productivity.
- Collaborate with team members on various projects, tracking progress and ensuring deadlines are met.
- Organize and maintain project documentation, including timelines, reports, and correspondence.
- Serve as a point of contact for internal and external communications, addressing inquiries and providing information as needed.
- Prepare and distribute meeting agendas, minutes, and follow-up actions to relevant stakeholders.
- Manage calendars and schedules, coordinating meetings and appointments to optimize time management.
- Assist with administrative tasks, including data entry, filing, and maintaining records.
- Identify opportunities for improving operational processes and workflows, proposing solutions to enhance efficiency.
- Support the implementation of new systems and processes, ensuring proper training and onboarding of team members.
Requirements
- Bachelor’s degree in Business Administration, Operations Management, or a related field is preferred.
- Minimum of 2-3 years of experience in an executive assistant or operations role, with a strong focus on operational tasks.
- Experience in backfilling operational roles or responsibilities is highly desirable.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools.
- Familiarity with CRM systems or project management software is a plus.
- Excellent verbal and written communication skills in English, with the ability to convey information clearly and concisely.
- Detail-oriented with strong organizational skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills and a proactive approach to overcoming challenges.
- Comfortable working U.S. hours, with a willingness to adjust as necessary to meet team needs.
