Job Description
The Human Resources Assistant will provide general administrative support to the Employee Relations and Leave & Accommodations workgroups within the Human Resources Department.
Pay: $24 - $26 / Hour
REMOTE Position
POSITION REQUIREMENTS
- OUR IDEAL CANDIDATE has 1-3 years of verifiable experience in an administrative or Human Resources support role.
- High school diploma or equivalent (Associate's Degree in Human Resources or a related field preferred)
- Reliable, highly organized and detail-oriented 'can-do' team player with excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information
- Knowledge of employment laws and regulations
- Must be proficient in speaking, reading, and writing in English. Bilingual in Spanish is a bonus
- Ability to pass a full background check and drug screening
- Strong computer skills (proficiency with Google Suite: Gmail, Sheets, Docs, etc.), Microsoft Office (Word, Excel, etc.), and Acrobat
- Familiarity with HR systems (UKG, payroll software) is a plus
- Excellent organizational and time management skills
- Must have a valid driver’s license and operable personal vehicle (proof of insurance required)
- Position is telecommuting approved for a hybrid work schedule of possibly 1-3 days per week remote. Employees must have the ability and set-up to work from home, have a dedicated space to efficiently and ergonomically perform job duties, and must be able to abide by FPI's Telecommuting policies.
RESPONSIBILITIES
- Generates ad-hoc reports requested by managers, providing necessary data and information for decision making purposes.
- Assists in managing unemployment claims, ensuring accurate documentation, and timely responses.
- Responds to requests for eligibility for rehire or employee transfer requests based on company policies and guidelines.
- Manages and prioritizes incoming inquiries from the general ticketing system for Leave & Accommodations and Employee Relations.
- Monitors and manages the dedicated email inbox for Leave & Accommodations inquiries, providing timely responses and forwarding messages to appropriate personnel.
- Processes necessary verifications for employees on leave.
- Maintains filing of employee medical documents.
- Collaborates with the Recruiting team to facilitate employee placement, ensuring smooth transfer or offboarding process.
- Collects and prepares separation packets for payroll purposes, ensuring accurate and timely process of employee separations.
- Manages payroll tasks related to employee leaves, including processing PTO requests, correcting payroll discrepancies, and ensuring accurate deductions.
- Completes state governmental agency forms related to employee leaves.
- Responds to subpoenas for records and file requests from attorneys and employees, ensuring confidentiality and compliance.
- Updates HR system with leave status, supervisor, deduction changes.
- Assists employees by printing copies of paystubs and W-2 forms as needed.
- Addresses discrepancies or complaints related to bonuses, ensuring accurate and timely payment.
- Responds to inquiries involving expense reimbursements for employees on leave or those who have left the company.
- Assists with third party leave administrator’s requests related to leave & accommodations claims, ensuring timely submissions, responses, and the collection of accurate information.
- Tracks and files annual performance evaluations, ensuring proper completion and adherence to timelines.
- Monitors and follows up on time card corrections and bonus payments to ensure accuracy and timely processing.
- Generates and analyzes weekly leave reports and conducts regular audits to identify and rectify discrepancies and errors.
- Updates the leave calendar with medical certification due dates and performs weekly audits to confirm employees’ leave status are accurate in the HR system.
- Assists with additional HR related tasks and projects as assigned by the HR Manager.
