JOB DESCRIPTION AND POSITION REQUIREMENTS: Penn State’s Office of Conferences and Short Courses seeks a detail-oriented, self-motivated person with exceptional customer service skills to serve as the Education Program Coordinator, providing primary support to Conference Coordinators and provide assistance with the conference planning for programs supported by the Office of Conferences and Short Courses. The position will be responsible for: Providing assistance and support for the development, planning, preparation, and evaluation of conferences, seminars and professional meetings, for Non-credit continuing education programs. Providing financial and administrative support for speaker travel, program expenses, and vendor contracts. Interact professionally with faculty, administrators, and external audiences and providing customer service and support to clients. Serving as a liaison to program faculty by managing the collection of presentation materials. Preparing and proofreading various documents for printing and coordinate the production of conference materials for distribution at the conference. Compiling and prepare program evaluations and detailed conference reports. Conducting onsite conference registrations and responding to conference attendee and Conference Coordinator needs. Prioritizing multiple tasks and arrange for various support services from vendors according to established timelines, budgetary requirements, and University procedures. Effectively organizing, communicating, and overseeing various program support functions. This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process. Some night and weekend work will be required. Education and Experience: Minimum requirements for this position include a high school diploma and two or more years of relevant experience, or an equivalent combination of education and experience. Candidate must possess excellent communication, writing, proofing, organizational, and interpersonal skills and have the ability to manage multiple tasks and deadlines. Must possess the ability to work both independently and as part of a team, while providing a high standard of customer service. Familiarity with event planning and meeting management preferred. Candidate must be comfortable learning and working in new technology and online systems. Experience with Penn State internal systems Simba, 25Live, Workday, Sap concur, and other systems preferred. Knowledge of Cvent online registration system a plus.
