Role Overview
Our client, a fast-growing company that empowers business owners to become bestselling authors, is looking for a highly organized and proactive Executive Assistant to the CEO. This role is essential in ensuring that the CEO’s time is optimized for strategic priorities by managing communications, scheduling, projects, and administrative tasks. Responsibilities
✔ Email & Communication Management:
- Organize incoming emails, prioritizing them into categories like "To Respond" and "Review."
- Draft thoughtful and professional responses on behalf of the CEO to maintain efficiency in communication.
✔ Calendar & Schedule Management:
- Fully manage the CEO’s calendar, scheduling meetings and commitments while maintaining an "Ideal Week" structure.
- Conduct daily, weekly, and monthly reviews to ensure scheduling conflicts are resolved and time is well allocated.
✔ Project Coordination & Execution:
- Assist the CEO in managing various projects by planning, delegating tasks, and ensuring execution according to deadlines.
- Organize and track progress on key initiatives, providing updates and follow-ups as needed.
✔ Travel Planning & Logistics:
- Research, book, and prepare travel itineraries, including flights, hotels, and transportation.
- Compile all travel details into an easy-to-reference document using Apple Notes.
✔ Task Prioritization & Coordination:
- Work closely with the CEO to determine daily and weekly priorities.
- Create and share clear, organized task lists with relevant context and materials.
✔ General Administrative Support:
- Serve as the CEO’s primary point of contact for scheduling and correspondence.
- Liaise with internal team members to ensure seamless project execution and communication.
✔ Must-Have Skills & Qualifications:
- 2+ years of experience as an Executive Assistant or in a similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proactive problem solver with a high attention to detail.
- Comfortable using technology tools like Google Workspace, Slack, and project management tools.
- Ability to work independently in a remote environment and prioritize effectively.
- Experience handling confidential and sensitive information with discretion.
✔ Nice-to-Have Experience:
- Familiarity with scheduling and managing communications for busy executives.
- Experience working in a remote setting.
- Interest in automation tools like GPTs and Zapier.
- Work Schedule: Monday through Friday during business hours (Full-time) - Completely remote
- Compensation: starting at $2,000 monthly
