Duties and Responsibilities: Under the supervision of the Communications Strategist, the Associate Communications Strategist will have the following responsibilities: Plan, write and develop stewardship materials under occasional guidance. Oversee and manage the gift acknowledgment and condolence process: Draft and personalize acknowledgments and condolence letters from Medical Center leadership, including the CEO and other leaders as needed Draft and update acknowledgment templates regularly Work with managers to streamline and improve processes Liaise with VUMC departments and leadership to ensure timely delivery of signed letters Collaborate with Office of Planned Giving on estate and bequest acknowledgment process Oversee and manage annual endowment impact reporting: Gather content from VU and Medical Center departments Draft and edit reports and handle review process to ensure timely delivery Proactively track reports to keep team informed of status Collaborate with Development Officers and Stewardship Communications team on any special delivery or handling requests Manage intake process with appropriate Development Officers Assist Development Officers in gathering content, as needed Provide support to team on stewardship activities related to current-use and custom impact reporting. Provide support to Senior Communications Strategist with drafting, reviewing and coordinating with development officers regarding Gift Agreement. Provide support to Senior Communications Strategist on projects and events, including the scheduling, drafting, coordination and reviews of ad hoc marketing materials and outreach. Manage process documents and shared folder organization to ensure materials are organized and accessible to team members. Work closely with colleagues to maximize effectiveness of Stewardship Communications team, building templates and tools where necessary to ensure efficiency and consistency. Research funds as needed to ensure that donor intent is being realized and records are complete. Assist in annual and daily reporting activities including data entry, contact reports and spreadsheet maintenance. Handle sensitive information in the strictest confidence, according to departmental and institutional policies. Develop strong working relationships with other VUMC offices to make accessing information more productive and efficient. Uphold departmental and institutional policies regarding confidential information. Work cooperatively with VUMC Development colleagues. Travel as required. Perform other duties as assigned. Qualifications: A bachelor’s degree (or equivalent experience) (Required) <1 year relevant experience (Required) Preferred Experience: 3 years relevant experience preferred. Superior verbal and written communications skills are required. Experience in stewardship, donor relations, communications or project management are required. Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to changing priorities in an intellectually rigorous and complex environment is essential. Knowledge of software programs applicable to development is desirable. Proficiency in Microsoft Word and Excel required. The ideal candidate will be a highly motivated, professional team player with courteous interpersonal skills and an excellent customer service attitude. The ability to apply sound judgment in all situations is required, as are excellent organizational skills with a meticulous attention to detail.
