Job Summary:
We are seeking a highly skilled and detail-oriented Executive Assistant to support our CEO. In this role, you will manage the executive’s day-to-day tasks, assist in key business initiatives, and play a critical part in the company’s success by ensuring the smooth coordination of projects, communications, and operations. Key Responsibilities:
Administrative Support: Manage the CEO’s calendar, including scheduling meetings, calls, and internal/external appointments. Coordinate travel arrangements and keep records organized and up-to-date.
Client & Partner Relations: Act as the first point of contact for clients and stakeholders, ensuring clear and timely communication. Assist in onboarding new partners and clients, maintaining strong relationships.
Project Management: Help track and manage timelines for ongoing projects. Provide regular updates to the CEO and ensure key deliverables are met on time.
Content & Communication: Draft and proofread communications, presentations, reports, and other materials. Maintain the company's CRM and manage external correspondence.
Event Coordination: Assist in organizing company events, meetings, and conferences. Manage logistics, communications, and follow-ups for both virtual and in-person events.
Document Management: Prepare, organize, and maintain confidential documents, reports, and presentations for internal and external use.
Research & Analysis: Conduct market research, gather competitive insights, and provide data-driven recommendations to support strategic decision-making.
Ad Hoc Tasks: Handle miscellaneous tasks as required, including personal assistance to the CEO on occasion, to ensure the smooth operation of the company.
Key Qualifications:
Experience: Minimum 3-5 years of experience as an administrative or executive assistant, ideally within the financial services or technology industry.
Skills: Strong written and verbal communication skills, with excellent attention to detail. Proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello).
Tech-Savvy: Comfortable with various software platforms and tools. Familiarity with CRM systems, scheduling software, and online marketing tools is preferred.
Interpersonal Skills: Strong emotional intelligence and professionalism, with a customer-centric approach to communication. Ability to manage multiple priorities and stakeholders effectively.
Self-Starter: Proactive, organized, and able to work independently in a fast-paced environment, anticipating the CEO’s needs.
Industry Knowledge: Knowledge or experience in financial services or fintech is a plus but not required.
