Job Summary:
The Payroll Analyst will be responsible for managing and processing semi-monthly payrolls for our U.S. and Mexico-based employees. Our team of over 900+ Exempt and Non-Exempt employees operates in a dynamic environment, with both U.S. and international operations, including a team of 50+ Exempt and Non-Exempt employees in Mexico. We are seeking a detail-oriented and motivated Payroll Analyst to join our team and help ensure seamless payroll processes. This role does not require accounting experience but demands strong analytical skills, attention to detail, and a commitment to accuracy. The Payroll Analyst will also play a key role in supporting compliance and ensuring employees are paid accurately and on time.
About the Role:
- Process semi-monthly payroll for 900+ Exempt and Non-Exempt U.S.-based employees, ensuring accuracy and compliance with federal, state, and local regulations.
- Manage semi-monthly payroll for 50+ Exempt and Non-Exempt Mexico-based employees, working closely with local payroll providers and HR to ensure compliance with country-specific requirements.
- Collaborate with HR and Benefits teams to accurately capture employee data, including new hires, terminations, and compensation adjustments.
- Ensure accurate deductions, including benefits, taxes, and garnishments.
- Partner with internal teams to administer and fund the company’s 401(k) program through Fidelity every payroll cycle.
- Address employee payroll inquiries promptly and professionally, ensuring a positive employee experience.
- Oversee time tracking for Non-Exempt employees, ensuring accuracy and compliance with labor laws.
- Collaborate with managers to review and approve timesheets in a timely manner.
- Maintain payroll records and ensure confidentiality of employee information.
- Assist in preparing reports and providing data for audits or compliance reviews.
- Identify and implement opportunities to streamline payroll processes for greater efficiency.
Skills we believe you need for the position:
- 3+ years of experience in payroll processing, preferably in a mid-sized or large tech organization with at least 500+ employees.
- Familiarity with payroll systems and software (experience with systems such as ADP, Workday, or similar is a plus).
- Basic understanding of payroll compliance and regulations for both U.S. and international payrolls.
- Strong organizational and time-management skills with the ability to meet deadlines.
- Exceptional attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite, especially Excel.
- Ability to work independently and as part of a team in a fast-paced environment.
A bonus if you have:
- Experience working with international payrolls, particularly in Mexico.
- Experience with process improvement and system implementations.
- Experience with control implementation, particularly with SOX requirements.
- Experience with tax jurisdiction registration and communicating with state agencies to ensure compliance - including but not limited to processing and rectifying state liability invoices and rate changes.
- Experience with Equity Payroll to the extent of understanding tax treatment and implications, reporting requirements and timelines, and mobile population/tax mobility treatment.
Compensation:
