Description
This role requires exceptional communication, organizational, and problem-solving skills, be highly proficient in MS Office, IP software and use of databases, and able to prioritize their workload. Responsible for providing timely and professional support as it pertains to the administration of the intellectual property portfolio. Provides administrative and legal assistance with respect to patents, copyright, trademarks and licensing of intellectual property.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Perform and/or manage day to day client and attorney functions related to Intellectual Property practices.
- Process incoming and outgoing file transfers and prioritizing action items based on urgency.
- Submit patent, trademark, and copyright applications and file associated documents with U.S. Patent and Trademark Office and U.S. Copyright Office
- Knowledge and comfort with U.S. IP processes and procedures.
- Manage client reporting and deadline tracking processes, including status updates to clients, communications from USPTO, docketing deadlines and reminders, utilizing file sharing system, assisting with client reporting and attorney assignments within varying platforms and databases.
- Support time entry and billing process and collaborate with Accounting as needed.
- Remain current with changes to USPTO policies and processes.
Requirements
- Associates degree or equivalent experience in a skilled administrative role is required.
- Familiarity with USPTO filing systems.
- Familiarity with International IP filing systems, particularly through WIPO, preferred.
- Management of docket using internal software solutions.
- Proficiency in Microsoft Office is required.
- Proficiency in Adobe is preferred.
- Strong written communication
- Strong attention to detail.
- Comfortable managing deadlines.
- Ability to perform effectively with little or no supervision and within established time limits and ongoing deadlines.

WORK ENVIRONMENT/CONDITIONS/PHYSICAL DEMANDS:
Duties will be performed in a standard office environment. Employees must have the ability to maintain regular, punctual attendance consistent with Gravis policy. While performing the duties of this job, the employee will may occasionally be required to work weekends, holidays, be on call, and some employees could be required to travel overnight on occasion.
