JOB DESCRIPTION AND POSITION REQUIREMENTS: The Penn State Great Valley School of Graduate Professional Studies invites applications for an Administrative Assistant. The Administrative Assistant manages and coordinates daily operations and provides a high level of administrative and financial support. This position provides overall administrative support to the Penn State Great Valley Chancellor and the Campus Development office. The successful candidate will be responsible for the following: Oversee the activities of a department; establish and assign priorities; ensure schedules are maintained and deadlines are met; develop processes and procedures for assigned area Prepare financial and operational reports and participate in preparation of short and long-range budget plans; review and approve financial transactions within established guidelines Coordinate and/or manage a wide variety of special projects Coordinate and oversee the processing of financial and human resources forms; coordinate office equipment purchases and material May manage departmental budgets May oversee or coordinate the operations and logistics of specialized programs Participate in promotion and tenure process to ensure documents are accurate and complete and deadlines are met Monitor maintenance contracts Analyze information for special projects and reports; draft speeches, handbooks, newsletters, articles, conference materials, etc. Lead the coordination of functions such as seminars, workshops, and banquets including travel, lodging, meals, etc. May participate in faculty searches Lead and direct the work of office/department support staff This position requires an Associate’s degree or higher plus 4 years of related experience or an equivalent combination of education and experience. Excellent writing, interpersonal and organizational skills are a necessity to success in this role. This position offers the possibility of a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process. Occasional travel to University Park is also expected.
