- Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information, and initiates telecommunications
- Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
- Prepares reports for the Executive by collecting and analyzing information
- Represents the executive by attending meetings in the executive’s absence and cascades information whenever needed
- Completes projects by assigning work to the appropriate department and following up on results
- Secures information by completing database backups
- Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions
- Maintain an organized filing system of paper and electronic document
- Format information for internal and external communication – memos, emails, presentations, reports
- Maintains executive’s confidence and protects operations by keeping information handled confidentially
- Serves as a bridge for smooth communication between the Executive's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff
- Works closely and effectively with the Executive to keep him well informed of upcoming commitments and responsibilities, following up appropriately; Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive updated
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- Minimum 3 years of experience in the same position, providing assistance to C-Level Executives
- Open for other industries but BPO is preferred.
- Prioritize a candidate who works more than 1 executive
- In depth knowledge of diverse business functions and principles (e.g. supply chain, finance, customer service etc.); Working knowledge of data analysis and performance/operation metrics
- Familiarity with customer support CRMs and Google Workspace
- Knowledge of office management; experience in purchasing, budgeting, and office errands is highly desirable
- Strong organizational, time management, project management, and problem-solving skills with impeccable multi-tasking abilities
- Exceptional interpersonal skills; beyond satisfactory business communication skills, both in written and verbal
- Proficiency in collaboration and delegation of duties
- Proficiency in Microsoft and Google Office applications
- Exceptional level of discretion and confidentiality
- Pleasing personality is highly desirable
- Experience in presentations (verbal and visual)
- Multitasking
- Leading special projects (small projects)
