Description
We are looking for a highly organized and detail-oriented Purchasing Virtual Assistant to join our team. The Purchasing Virtual Assistant will support the purchasing department in obtaining goods and services required for the company’s
operations, ensuring timely and cost-effective purchases. This role requires strong attention to detail, excellent communication skills, and the ability to handle multiple tasks simultaneously.
Key Responsibilities:
- Assist in sourcing, negotiating, and purchasing goods and services required for operations.
- Research and evaluate potential suppliers, ensuring they meet quality standards and cost requirements.
- Maintain and update records of purchase orders, invoices, and contracts.
- Track inventory levels and coordinate restocking of products or materials as needed.
- Assist in preparing purchase orders and issuing them to suppliers.
- Monitor supplier performance, ensuring timely deliveries and compliance with agreements.
- Process and resolve discrepancies related to invoices, purchase orders, and delivery issues.
- Liaise with internal departments to understand purchasing needs and requirements.
- Maintain accurate records of purchases and pricing for budget tracking and reporting purposes.
- Collaborate with the finance department to ensure proper handling of payments and invoices.
- Support the purchasing team with administrative tasks such as filing, documentation, and data entry.
- Stay updated on industry trends, pricing, and supply chain issues.
Requirements
Required Skills:
- Proven experience in purchasing, procurement, or a related field is a plus.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to analyze data and make informed purchasing decisions.
- Proficiency with Microsoft Office Suite (Excel, Word) and other office software.
- Basic knowledge of purchasing software or ERP systems (e.g., SAP, Oracle) is a plus.
- Attention to detail and accuracy in handling data and processing orders.
- Strong negotiation skills and ability to build relationships with suppliers.
- Ability to work well under pressure and meet deadlines.
- Team player with a positive attitude.
Preferred Qualifications:
- Bachelor’s degree in Business Administration, Supply Chain Management, or related field.
- Experience in the relevant industry (manufacturing).
- Familiarity with budgeting and cost control practices.
