About the role:
As our Executive Assistant, you play a critical role in providing high-level support to the CEO, Board of Directors, and senior leadership team, ensuring smooth operations and enabling the organization to achieve its mission of empowering women entrepreneurs across Canada.
Together, we will make an impact on the thousands of women entrepreneurs across Canada each year.
\n- Managing the CEO, and VP of Development’s inbox, calendar, and travel arrangements, ensuring priorities are aligned and deadlines are met.
- Supporting the CEO and senior leadership with meeting preparation, document management, and timely follow-ups.
- Organizing and maintaining the digital workspace (Google Drive), keeping files and systems updated and easily accessible.
- Coordinating logistics for internal and external meetings, including Board and Board committee meetings, preparing materials, and managing agendas.
- Assisting with communication and correspondence on behalf of the CEO, including liaising with entrepreneurs, mentors, partners, and donors.
- Managing donor event invitations, logistics, and RSVP tracking to ensure seamless execution of events.
- Supporting financial administrative tasks such as expense reporting, charitable tax receipting, and payment tracking.
- Handling sensitive and confidential information with discretion and professionalism.
- Assisting with general operations and administrative components of programs and initiatives, as needed.
- Proactively identifying ways to streamline processes and improve efficiency across the executive team.
- Performing other executive-level tasks and responsibilities as required.
- You are a proactive, detail-oriented professional with exceptional organizational and time-management skills.
- You thrive in fast-paced environments, juggling multiple priorities and staying ahead of dynamic changes.
- You communicate clearly and professionally, both in writing and verbally, and excel at managing relationships with key stakeholders.
- You take full ownership of tasks and projects, providing regular updates and finding solutions to potential roadblocks.
- You are highly proficient with software such as Google Suite, Asana, and CRM systems (Nutshell), and you quickly adapt to new platforms.
- You bring a 'how can I help' attitude, are resourceful, and enjoy supporting a high-performing leadership team.
- You are passionate about The Forum’s mission of supporting women entrepreneurs and are committed to contributing to its success.
- Salary range is $70,000 - $85,000 annually, commensurate with your experience.
- 15 days of vacation, plus additional paid time off in December.
