Our product is a groundbreaking, all-in-one, portable cold tub that is revolutionizing the rapidly expanding cold-water immersion sector. Mission/Purpose

This role will work directly with Ciaran, the CEO, to streamline his professional and personal life by managing email and social media inboxes, booking meetings, planning travel logistics, conducting research, and managing various personal tasks. The EA is a proactive problem-solver who optimizes the CEO’s day-to-day operations and provides a high level of support.

Accountabilities:

  1. Email and Calendar Management: Handle all email correspondence, prioritize critical messages, schedule appointments, manage conflicts, and coordinate off-site meetings.
  2. Operational Support: Independently handle order management, some customer support inquiries, and coordinate with vendors and partners. Create SOPs and processes.
  3. Project Management: Efficiently manage projects from initiation to completion, setting clear timelines and ensuring tasks are completed on time.
  4. Vacations and Logistics Planning: Research and book flights and accommodations, plan trip itineraries, handle travel bookings and cancellations, maximize travel points, and assist with event planning.
  5. Online Ordering and Cost Analysis: Complete cost analysis for most cost effective options. Handle online orders, book cars and eBike parts, manage returns and gifts, track purchases and expenses, and manage Venmo-related financial tasks. 
  6. Research: Conduct comprehensive research on new software, insurance, cars, products, and food to identify the most cost-effective options by evaluating reviews, prices, and service levels.

  2. Exceptional Time Management and Prioritization: Manages multiple priorities efficiently, focusing on high-impact tasks.
  3. Excellent Communicator: Confidently communicates through written and spoken channels; able to initiate and maintain professional relationships.
  4. Tech-Savvy: Fast learner with experience in ecommerce tools and platforms like Shopify, email marketing software, and customer support systems.
  5. Detail oriented, organized and diligent - tendency to double check, do clean work, and remove errors ahead of time.

Required Knowledge and Experience

  • Proven experience in ecommerce operations & Shopify 
  • Strong background in email & calendar management
  • Experience with research and data analysis
  • Google Drive / Google Calendar / Google Meet 
  • Asana/Monday/Trello (or similar project management software)
  • Slack (or similar messaging software)
  • C1 level English or better
  • SOP & Process creation

Nice to Have

  • Familiarity with tools like Klaviyo, Instagram scraping, GMASS, rocketreach, ahrefs
  • ChatGPT (or similar AI system)
  • Social media management on Instagram 
  • Alibaba & WeChat 
  • Klaviyo / Email Marketing 

Compensation and Growth

  • Starting at $6-10 per hour, with opportunities for increased hours and advancement based on performance. Initial commitment of 10-20 hours per week, with potential for additional hours as the company grows.
