About the role:
As an Executive Assistant, you'll provide essential support to the CEO, ensuring their day-to-day operations run smoothly and efficiently. Your responsibilities will range from managing email and calendars to assisting with website content and admin tasks. You'll also play a key role in supporting the ALDN (Assisted Living Director Network) online community and membership.
Duties and Responsibilities:
Business Support:
- Manage project tasks and deadlines using a systematic approach.
- Conduct research to gather and present valuable information.
- Assist with website content updates for both the client and ALDN.
- Manage ALDN membership, including tracking issues, creating posts/events, and facilitating virtual Zoom calls.
- Coordinate email marketing efforts for ALDN, including managing unsubscribe requests.
- Gather and format relevant data (quality, financial) for reporting purposes.
Personal Support:
- Organize and prioritize email communication, ensuring timely responses and a clutter-free inbox.
- Manage the CEO's calendar, scheduling appointments, coordinating meetings, and optimizing her time.
- Organize online files for easy access and retrieval.
- Assist with personal tasks such as family event planning (as needed).
Growth Support:
- Analyze current processes to identify areas for improvement and enhance efficiency.
- Participate in strategic discussions and offer valuable insights to support decision-making.
- Proven experience of at least 2 years as an Executive Assistant or in a related role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and common communication tools like Zoom
- Experience with project management and content creation (a plus).
- Experience in using QuickBooks (is a plus!)
- A highly organized and detail-oriented individual with a strong track-and-chase mentality.
- Excellent communication and interpersonal skills, with the ability to ask clarifying questions and effectively manage expectations.
- Ability to work independently, manage multiple priorities, and thrive in a fast-paced environment.
- A self-starter with a proactive approach to problem-solving.
- Flexibility and adaptability to accommodate unexpected interruptions and schedule changes.
- Experience working with a virtual team (a plus).
- Experience in a start-up or non-profit environment (a plus).
