The Administrative Assistant will play a crucial role in supporting the Virtual Resettlement & Placement (R&P) Office. This position is responsible for assisting with the hiring and onboarding of new staff, managing schedules, facilitating training, and providing general administrative support to the Virtual R&P leadership team.

- Assist with managing the hiring process, including posting job openings, scheduling interviews, and coordinating with candidates.
- Support the general onboarding of new staff, ensuring all necessary paperwork and procedures are completed and ordering necessary supplies
- Assist the director in scheduling calls and meetings with relevant stakeholders.
- Share meeting notes and form next steps to ensure follow-up on action items.
- Coordinate meetings, trainings and workshops with the VR&P team and across other programs and departments.
- Assist with time card training for new employees.
- Train new employees on Cyrus, including processes and procedures related to VR&P.
- Provide training to staff on the use of RefAid.
- Serve as a focal point person between the external stakeholder and VR&P on the use of ZenDesk CRM software.
- Manage a staff inventory, VR&P website for staffing updates, and maintain an up-to-date mailing list.
- Handle office supply requests and ensure timely procurement of necessary items.
- Assist the Virtual R&P leadership team with organizing in-person gatherings, trainings, workshops, conference, and travel planning, including flights, hotels, and transportation
- Act as the focal point for managing complaints and feedback mechanisms, ensuring timely and effective resolution on an as needed basis.
- Support VR&P caseworkers by preparing requests for clients' per capita funds and following up using the Cyrus system. This includes managing the online platform used to send funds to clients.
- Provide comprehensive administrative support to the Virtual Resettlement Office, including managing and reconciling credit card transactions for the virtual office.
- Occasionally arrange flights and accommodation for virtual clients as needed.
- Assist with creating processes and procedures to ensure the smooth functioning of the Virtual R&P team on an as-needed basis.
- Personal Christian Faith and a heart for service to vulnerable people
- Minimum 2 years’ of proven experience in an administrative or support role, preferably in a virtual or remote environment.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Mature and personal Christian faith

- Desire to serve and empower the Church to impact vulnerable communities
- Able to affirm and/or acknowledge World Reliefs Core Beliefs, Statement of Faith, Christian Identity and National Evangelicals For the Health of The Nation document
- Fluency in written and spoken English
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Ability to work independently and as part of a team.
- Familiarity with the Reception and Placement program is a plus.
- High level of discretion and confidentiality.
- Bi-lingual skills are a plus but not mandatory
- Able to travel up to 20% domestic
