Role Overview
We are seeking an Executive Assistant to join our team in a fast-paced environment. The ideal candidate will exhibit a high aptitude, fast learning ability, and a proactive approach to handling tasks end-to-end. Your role will encompass a wide range of responsibilities, including managing productivity tools, setting up operational systems, handling standard administrative tasks, and assisting with sales and social media management. We are looking for a superstar who can grow with us long-term and contribute to our success.
Responsibilities
- Quickly learn and proficiently use productivity tools such as Excel, Google Sheets, and Clickup to develop integrated workflows.
- Proactively discover and learn new tools to improve processes and productivity, including managing Google Domain, Front for email, LinkedIn, DocSend, and Toggl for time tracking client hours.
- Set up and manage Google Domain accounts as necessary.
- Utilize Front for email management, ensuring efficient communication handling.
- Assist with LinkedIn client outreach and engagement efforts.
- Coordinate document sharing and tracking using DocSend.
- Track client hours accurately using Toggl for time tracking.
- Handle standard administrative tasks, including inbox management, calendar organization, and billing/invoicing using platforms such as Ignition for billing and QuickBooks Online (QBO) for books.
- Collaborate effectively with team members using Slack for communication and collaboration.
- Demonstrated ability to learn fast and work efficiently in a high-paced environment.
- Strong operational mindset with the ability to think strategically about setting up systems for scalability.
- Proficiency in productivity tools and eagerness to learn new software.
- Familiarity with basic office tools such as Excel, Google Sheets, and Clickup.
- Experience in managing Google Domain, Front, LinkedIn, DocSend, and Toggl preferred.
- Experience with billing platforms such as Ignition and accounting software like QuickBooks Online (QBO) is a plus.
- Excellent organizational and time management skills.
- Proactive attitude and ability to take ownership of tasks end-to-end.
- Friendly demeanor with strong communication and interpersonal skills.
- A master's degree is considered a bonus.
