The Forum is a Canadian charity that energizes, educates, mentors and connects women entrepreneurs to be wildly successful, promoting strengthened economies and thriving communities. We are proud to have supported over 6,100 women entrepreneurs since the pandemic began and have 22 years of experience supporting over 15,000 entrepreneurs across the country. We are driven to make meaningful impact and have fun while doing so.

About the role:
As our Administrative Assistant, you are vital to supporting The Forum’s internal operational functions, including maintaining systems and processes, tracking data, measuring impact, and providing executive assistance. You will report to Miranda Ta, our Operations Manager.
Together, we will make an impact on the thousands of women entrepreneurs across Canada each year.
\n- Maintaining our digital workspace (Google Drive), ensuring our files are organized across the organization.
- Managing our general inboxes and ensuring our systems and software are updated, including payment tracking.
- Contributing to a positive team culture through initiatives and celebrations.
- Ensuring data completeness and accuracy, including tagging for programs and events in Nutshell (CRM).
- Supporting financial administrative tasks such as expenses, charitable tax receipting, and information processing.
- Corresponding with entrepreneurs, mentors, and speakers as required.
- Assisting the CEO and Director of Corporate Sponsorship with inbox and calendar management, travel arrangements, and expense reporting.
- Supporting donor event invitations, logistics, and RSVP tracking.
- Assisting with day-to-day accounting in collaboration with the accounting team.
- Supporting operational and administrative components of our Programs and other activities as needed by our Program Managers.
- Helping manage the community platform and maintaining impact metric tracking and reporting.
- Assisting the CEO with scheduling Board and committee meetings and preparing materials.
- Performing other tasks as required.
- You are a thoughtful doer with strong attention to process, deadlines, and organization.
- You manage your time well and handle multiple moving pieces with dynamic priorities.
- You communicate clearly and effectively, both in writing and verbally, and are comfortable working in a digital environment.
- You take ownership of tasks, providing updates on progress and addressing roadblocks.
- You’re familiar with software like Google Suite, project management tools (Asana), and CRM systems (Nutshell), and you can quickly learn new platforms.
- You enjoy variety in your day, bring a 'how can I help' attitude, and thrive in a collaborative, high-performing team.
- You’re passionate about supporting women entrepreneurs.
- Salary range is $50,000 - $55,000 annually, commensurate with your experience.
- 15 days of vacation, plus additional paid time off in December.
