Position Overview: We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The successful candidate will be responsible for managing executive schedules, coordinating meetings and events, handling correspondence, and facilitating travel arrangements.
Responsibilities:
- Manage executive calendars, schedule appointments, and coordinate meetings, both internally and externally.
- Prioritize and screen incoming communications, including emails, phone calls, and mail, and respond or redirect as appropriate.
- Prepare and edit correspondence, presentations, reports, and other documents on behalf of the executives.
- Coordinate travel arrangements, including flights, hotels, ground transportation, and visas, ensuring smooth and efficient logistics.
- Anticipate travel needs and proactively address any changes or adjustments to itineraries, accommodations, or schedules.
- Process travel expenses and reconcile receipts in accordance with company policies and guidelines.
- Assist in the preparation of meeting agendas, take minutes, and follow up on action items as needed.
- Serve as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality at all times.
- Conduct research, gather data, and compile reports to support executives in decision-making and strategic planning.
- Handle special projects and assignments as delegated by executives, demonstrating flexibility and adaptability in a fast-paced environment.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or related field preferred.
- Proven experience as an Executive Assistant or similar role, supporting senior executives in a corporate environment.
- Exceptional organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines effectively.
- Strong written and verbal communication skills, including the ability to draft professional correspondence and presentations.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Discretion and confidentiality in handling sensitive information and matters pertaining to the executive office.
- Ability to work independently with minimal supervision and collaborate effectively as part of a team.
- Previous experience in travel coordination and familiarity with travel booking platforms and procedures is preferred.
Standard working hours are 8am-5pm Central Time, unless otherwise stated in the Job Description.
In the spirit of pay transparency, we are excited to share the base salary range for this position is $35-50/hr, exclusive of fringe benefits or potential bonuses. If you are hired at bswift, your final base salary compensation will be determined based on factors such as geographic location, skills, education, and/or experience. In addition to those factors – we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is the full base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future & continued salary growth. We also offer a generous compensation and benefits package!
