Circ is seeking an Executive Assistant to support our Senior Leadership Team. This role requires a candidate who is highly organized, has excellent verbal and written communication skills, is very comfortable with Microsoft office, and has proven experience supporting multiple leaders and executives.
We’re looking for someone who embodies our core values and thrives in a dynamic, ever-changing environment. In this role, you'll be integral to the seamless operations of our Senior Leadership Team, ensuring that each day’s unique challenges are met with efficiency and professionalism.
This role will report into our VP, People and be an integral member of our People Team.
Key Responsibilities
- Provide a high degree of support to our CEO and COO while supporting the needs of the broader Senior Leadership Team
- Screen and prioritize emails and other communications
- Prepare, edit, and distribute reports, presentations, and correspondence
- Plan, coordinate, and organize meetings, including logistics, agendas, and materials
- Attend meetings, take detailed minutes, and follow up on action items as needed
- Ensure executives are well prepared for meetings with relevant information and details
- Arrange complex and detailed travel plans and itineraries using our external travel booking system
- Provide communications between our leadership team and Circ’s Board and investors
- Prepare and process expense reports in a timely manner
- Build and maintain relationships with internal and external stakeholders
- Serve as a point of contact for those needing to access the Senior Leadership Team
- Assist with special projects as needed
- Maintain confidentiality and discretion in handling sensitive information
Qualifications and Role Requirements
Candidate to be based in the U.S. in Eastern Time Zone
- Bachelor’s degree preferred, or equivalent experience
- Minimum of 7 years as an Executive Assistant or similar role
- Highly skilled with Microsoft Office Suite, including Outlook and Teams
- Proven ability to anticipate the needs of senior leaders and proactively address them
- Demonstrated experience in managing complex calendars, travel arrangements, and meeting coordination
- Experience handling confidential and sensitive information with discretion
- Experience working in a fast-paced, high-pressure environment, with the ability to remain calm and professional under tight deadlines
- Previous experience in a role requiring strong interpersonal skills and the ability to build relationships at all levels of the organization
- Ability to travel as needed (less than 10%)
