Our client is a leading food delivery service in Connecticut, specializing in ready-made meals designed to promote health and wellness. We provide convenient and delicious meal options for individuals and families looking to maintain a healthy lifestyle without the hassle of shopping, cooking, or cleaning.
We are seeking a versatile and organized Executive/Administrative Assistant to join our client's team. The ideal candidate will play a crucial role in managing website & POS updates, handling customer interactions, providing graphic design support, and assisting executives with administrative tasks.
Responsibilities:
Executive Support:
- Provide high-level administrative support to the owner, including calendar management, scheduling meetings, and coordinating appointments.
- Prepare and organize materials for meetings, presentations, and reports.
- Assist with special projects and initiatives as assigned by the client/owner.
Website Management:
- Make regular updates to the website, including changing menus, uploading photos, and editing descriptions and menu items as needed.
- Ensure the website content is accurate, visually appealing, and aligned with company branding guidelines.
- Collaborate with the marketing & kitchen team to implement website changes that enhance user experience and drive customer engagement.
POS Management
- Learning the 2 platforms we use such as Transact & Toast
- Making any updates to the systems including changing menus, uploading photos, and editing descriptions and menu items as needed.
Customer Interactions:
- Handle customer inquiries, orders, and issues via phone, email, and online chat in a professional and friendly manner.
- Assist customers with placing orders, updating account information, and resolving any delivery or product-related concerns.
- Work closely with the customer service team to maintain high customer satisfaction levels and address feedback effectively.
Graphic Design Support:
- Create and edit graphics, banners, and promotional materials using graphic design tools such as Canva.
- Collaborate with the marketing team to develop visually appealing content for social media, email campaigns, and website banners.
- Ensure consistent branding and messaging across all design materials.
Inventory/Production Management:
- Monitor and manage inventory levels of food products and packaging materials.
- Coordinate with suppliers/vendors to ensure timely replenishment of inventory.
- Conduct regular inventory audits and reconcile discrepancies as needed.
- Work with the operations team to optimize inventory storage, reduce waste, and improve overall efficiency.
- Assist in consolidating/assembling kitchen production reports of orders.
Phone Support:
- Answer incoming calls and direct inquiries to the appropriate departments or team members.
- Provide basic information about products, services, and company policies to callers in a courteous manner.
- Previous experience as an executive assistant or in a similar role supporting senior management.
- Experience working with email marketing system. Preferably Klayvio.
- Proficiency in office productivity software (Microsoft Office Suite, Google Workspace).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Experience in website management, graphic design, and customer service is a plus.
- Client Relationship: You will be directly working with the client. This means that you will communicate with the client, provide services, and address any client-related matters independently.
- Payment: All payments for your services will be handled directly by the client. Elevate and Delegate is not involved in processing your payroll. Your salary will directly go to you.
- Vacation Leaves and Holidays: While we may have recommendations or guidelines regarding vacation leaves and holidays, the decision is entirely at the discretion of the client. You are expected to align your schedule with the client's business needs and any specific policies or preferences they may have in this regard.
