We are seeking a talented Virtual Assistant with experience in HR/Recruiting and Project Management to join our dynamic and remote team. Our client is a digital marketing agency, focused on results to help brands reimagine how they reach, message and engage through a data-based approach and with efficiency-boosting technology at the core.
Responsibilities:
HR/Recruiting
- Review applicants in JazzHR on open job roles
- Conduct job applicant interview screening calls (as scheduled)
- Provide updates on Slack on candidates' interview progress - schedule next interviews or send follow up emails as needed
- Do outreach in LinkedIn recruiter for open positions - follow up on InMails
Project Management
- How can we make ClickUp deadlines send a channel notice in the client channel
- Taskmaster for Clickup - keep all tasks consistent (with all details) and follow up with people to hit deadlines
Administrative
- Order new employee IT equipment and Nike jackets
- Assist and coordinate in company travel/event planning
- Coordinate client and employee holiday gifts
- Manage employee’s appropriate access to relevant platforms (e.g. ClickUp, Confluence, Zoom, Fireflies, Ad Platforms)
- Foster/nurture Upgrow’s core values/culture
Marketing
- Book management at conference, events, and podcasts
Finance
- Follow up on overdue invoices in Quickbooks Online (QBO) with clients
- Match/reconcile payments against invoices in QBO (accounts receivables)
- Review and coordinate with management on expense reimbursement approvals in Ramp
Sales
- Filter inbound sales meeting requests and reject unqualified leads
- Follow up with sales prospects on behalf of Ryder via HubSpot
- Follow up on client satisfaction survey to gather responses
Tech Stacks
- HR/Recruiting: JazzHR, Gusto
- Project Management: Basecamp, ClickUp, Slack, Confluence, Zoom, Fireflies
- Administrative: Google Workspace, Microsoft 365
- Finance: Ramp, QuickBooks Online
- Sales: HubSpot, SignNow
- 3-5 years experience in administration (or similar role)
- Amazing communication - verbal, written, and asynchronously. English must be fluent level.
- Positive, can-do attitude, willingness to learn and be comfortable with ambiguity
- Strong ownership - very proactive, not afraid to ask questions and seeks to get things accomplished and on time
- Extremely process-driven and great at creating/improving documentation
- High attention to detail
- Currenlty living in Latin America
Preferred
- Experience working at a digital marketing agency
- Experience in recruiting and screening applications
- Experience and proficiency in our tech stacks
- Work remotely Monday - Friday, 40 hours a week (no weekends)
- Vacation: 10 business days a year
